Legacy System Modernisation for Hospitality and Leisure
Legacy system modernisation for hospitality and leisure businesses. Refactor outdated booking, guest experience and operations systems to modern, cloud-native platforms. Zero data loss, minimal downtime.
Legacy booking systems built on monolithic code become impossible to maintain. A single change to the guest check-in flow requires weeks of regression testing. Payment processing fails during peak seasons. Channel manager integrations break without warning. CTOs and IT Directors face a choice: pour resources into patches, or rebuild on modern foundations. The cost of not modernising is higher than the cost of migration. Downtime during holidays costs revenue. Guest data locked in incompatible formats makes reporting and personalisation nearly impossible.

Why Hospitality Systems Fail to Scale
02
Monolith to Microservices: A Phased Approach
Rather than a risky 'big bang' cutover, we refactor legacy hospitality software one service at a time. Booking logic moves to its own microservice while the old system continues running. Guest profiles migrate to a cloud-native data layer. Payment processing decouples from the core reservation engine. Each phase is tested in parallel, validated against live data, then switched over during low-traffic windows. Your team trains on the new system while the old one keeps the business running. This method removes the false choice between stability and modernisation.
03
Data Integrity and Compliance in Migration
Hospitality systems hold guest payment records, booking histories, and personal data going back decades. Losing a single transaction or date record breaks trust and compliance. We design migration pipelines that validate every record before cutover: checksums match, date formats convert correctly, foreign keys resolve. Reconciliation reports compare source and target databases record by record. All data is encrypted in transit and at rest. The Operations Director sees a detailed audit log. Legacy system modernisation in hospitality is not just about speed,it is about proving that no guest data was left behind or corrupted.
CASE STUDIES
How we've transformed enterprises, SMEs and startups
Founded in 2007 as a dedicated IT consultancy, Evolved Ideas has grown into a team of over 100 professionals, with a head office in Leicester and development hubs in Eastern Europe and Spain.
The team at Evolved Ideas work with us as extended team members, and very much as part of our team. They have just completed a major milestone in our development, going live with our new loan management platform, and we couldn't be happier.

OUR EXPERTISE
What we build
Over 17 years building custom software and mobile applications, and leveraging AI and ML to build the software you'll need next.
Hospitality operators across the UK depend on booking systems built before mobile bookings became the norm. Many PMS platforms are tied to on-premise servers, making seasonal scaling impossible and emergency failover slow. A boutique hotel group with properties in the Cotswolds or Lake District cannot rely on a system that crashes during Easter or the school holidays. Modernising to cloud-native architecture with API-driven integrations means each property can handle demand spikes without manual intervention. It also means staff use a mobile-friendly interface, channel managers sync in real-time, and payment disputes are auditable. For CTOs managing multi-property estates, legacy system modernisation is not optional,it is the foundation for guest experience and operational control.
Our process has guided startups, scaleups and enterprises from concept to reality, and continues after launch.

Discovery
A free 30-minute consultation followed by a stakeholder workshop, where we listen to your challenges, validate assumptions and build an outside-in view of your situation.
02
Plan & design
We scope the project, define milestones and deliverables, then research your market, wireframe the UX and prototype the UI so the direction is agreed before a line of code.
03
Build
We assemble your dedicated team, establish reporting and work in iterative Scrum sprints, delivering a working MVP or proof of concept you can test with real users.
04
Launch & support
We ship, sign off, and keep your product current through our support service or a permanent extended team as your business evolves.
Technology is more than just code — it's a tool for solving real business challenges. Whichever route fits your stage, the same team delivers it.
Bespoke Software
With your long-term goals in mind, we help you choose the technology you need and develop a tech roadmap based on industry trends, emerging tech and your business requirements.
We have years of experience building proof of concepts and MVPs. We will take you from testing viability to building an MVP to validate your hypotheses.
Tier 1 customer support, Tier 2 technical support and Tier 3 development support for applications and legacy software, delivered by our engineering teams.
If you need to build an IT team from zero or need staff augmentation, we can build the team you need — developers, designers, analysts and even fractional CTOs.
How do we migrate a 15-year-old booking system without losing reservation data?
We extract booking records systematically, validate them against the original schema, and load them into the new system with full traceability. Before cutover, we run a 24-hour reconciliation: both systems process the same guest actions in parallel and we verify identical outcomes. If discrepancies appear, we halt and investigate. Only when checksums match do we switch traffic to the new platform. Your Operations team gets a signed-off report showing every booking migrated and verified.
What happens to integrations with payment gateways and channel managers during modernisation?
We do not rip out integrations mid-flight. The new system is built with API contracts that match the old system's outputs at first, so payment processors and channel managers see no change. Once the new APIs are stable and tested, we gradually switch channels one at a time. A boutique hotel might start with direct bookings, then Booking.com, then Airbnb. Each switch is monitored for payment failures and booking errors. If issues arise, we flip back instantly.
Can we add new features to our booking system while modernisation is underway?
Yes, but we segregate work. New features land on the modern platform first, tested in isolation. At the same time, the old system stays stable and supports existing reservations. Once the new system is live for a guest flow (say, cancellations), that feature is frozen on the legacy system and only updated in the new one. This prevents your development team from maintaining two codebases for years.
How long does legacy hospitality software modernisation typically take?
Scope matters. A small PMS refactor with 5-10 core tables and light integrations can go live in 3-4 months. A complex multi-property system with 50+ tables, channel manager networks, and loyalty integrations takes 6-9 months. We break this into milestones: data audit, system design, phased migration, parallel running, cutover, stabilisation. Each milestone is signed off before the next begins. You know costs and timelines upfront.
What if our current system uses a database nobody supports anymore?
We have modernised systems running on decades-old stacks: Informix, Progress OpenEdge, Sybase, custom file-based storage. The database engine is almost irrelevant. We extract the data as clean records, validate structure and content, and load into a modern platform (PostgreSQL, AWS RDS, etc). The hard work is understanding what the old system actually does, not what the documentation says. We reverse-engineer business logic from code and data patterns, then rebuild it in clean, tested code.
How do you handle a modernisation project when our team has limited technical capacity?
We take the bulk of the work. Your IT Director or CTO reviews architecture decisions and sign-offs; your team does not write the refactoring code. We supply detailed migration documentation, train staff on the new system before cutover, and embed an engineer on-site (or remote if you prefer) during the first month post-launch to handle teething issues. Support shifts to a retainer once you are stable. The goal is to leave you with a system your existing team can maintain and extend.
